This policy explains how Kalmflex ("we") collects, uses and protects your personal information when you visit kalmflex.com or place an order. We handle your information in line with the Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's Act respecting the protection of personal information in the private sector, and the laws that apply in your province.

2. Information we collect

  • Identity and contact details: first and last name, email address, shipping and billing address, phone number (optional).
  • Orders: products bought, amounts, order history, messages with our customer service team.
  • Payment: handled directly by our secure payment providers. We never store your card details.
  • Browsing: IP address, device and browser type, pages viewed, data from cookies (see section 8).
  • Newsletter: your email address, if you sign up.

3. Why we use it

  • To process and deliver your orders, and handle returns, refunds and customer service.
  • To meet our accounting, tax and legal obligations.
  • To prevent fraud and keep the website secure.
  • To improve the website and measure its audience (analytics cookies), with your consent.
  • To email you our offers and news, with your consent, which you can withdraw at any time with the unsubscribe link in every email.
  • To show personalized ads on other websites and social networks (advertising cookies), with your consent.

4. Who we share it with

Your information is never sold. It is shared only with the providers our business needs, who act on our instructions:

  • our e-commerce platform and host (Shopify);
  • our payment providers;
  • our carriers and logistics partners, for delivery;
  • our email and customer service tools;
  • with your consent, our analytics and advertising partners (for example Meta or Google);
  • the authorities, when the law requires it.

5. Transfers outside your province

Kalmflex and some of our providers are located outside your province (in particular in the United States, elsewhere in Canada and in the European Union). Before sharing your information, we make sure it will be adequately protected, through contractual commitments with these providers.

6. How long we keep it

  • Order and billing information: as long as tax and accounting laws require (up to 6 years).
  • Customer account: until it is deleted, or 3 years after your last activity.
  • Newsletter: until you unsubscribe, or 3 years after our last contact.
  • Cookies: 13 months at most.

7. Your rights

You can ask to access, correct or delete your personal information, withdraw your consent at any time, and ask for your information in a structured, commonly used technological format. Email us at info@kalmflex.com; we reply within 30 days.

If you believe your rights have not been respected, you can file a complaint with the Office of the Privacy Commissioner of Canada (www.priv.gc.ca) or, in Quebec, the Commission d'accès à l'information (www.cai.gouv.qc.ca).

8. Cookies

We use cookies that the website needs to work (cart, checkout, security, language preferences). Analytics and advertising cookies are used only with your consent, given through the banner shown on your first visit. You can change your choices at any time from that banner or in your browser settings.

9. Security

The website is served over HTTPS and payments are encrypted. Access to your information is limited to the people and providers who need it.

10. Minors

The website is intended for adults. We don't knowingly collect information about anyone under 16.

11. Changes

We may update this policy. The date of the latest update is shown at the top of this page.
